Registration conditions

The enrollment conditions related to accommodations, cooking courses, art courses, and weekend extracurricular activities are not provided by Europass SRL and are not covered on this page.

When paying by bank transfer, payment must be made to the current account in the name of:

When making the bank transfer, please indicate as payment reference (“causale”) the student’s full name and the type of course.

For long-term programs (such as, by way of example, the Work and Study Program, the Retirement Program, the University Pathway and other similar multi-month programs), the total amount due must be paid in full, in a single installment, in advance. Payment by bank transfer for these programs is available only upon request.

The Right of Withdrawal (14 days) and the general cancellation and refund rules described under “Cancellations, Reductions and Refunds” below apply to these programs in the same way as to the other courses, except in case of visa denial, which is governed by the specific rule described under “Student visa” below.

Discount codes and promotional codes may not be combined with other discounts, offers, or promotions. Some codes may be redeemed only once per person.

On national holidays, there are no in-person lessons. For each course day which doesn’t take place due to bank holiday, the student will receive a 40€ coupon. This coupon is a credit that students can use in one of the following ways: to take part in cultural activities; to add conversation lessons, where available; or as a deposit towards future online lessons. No refunds are granted, and missed group lessons are not made up. Private lessons will be rescheduled.

The school is closed during the Christmas holidays and over the New Year. Courses end on the Friday before Christmas (25/12) and resume on the first Monday after Epiphany (6/1). If a student is enrolled in classes during this period, these two weeks do not count towards the duration of the course, and the end date of the enrollment will be adjusted accordingly

Absences for personal reasons, early departures, and late arrivals are not, in themselves, valid reasons to make up missed lessons or to request a refund, except as set out below.

• Private Lessons (Online and In-Person): if a student needs to cancel or reschedule a private lesson that has already been booked, they must notify the teacher and the office managers at least 24 hours (on working days) before the scheduled time. The lesson will then be rescheduled. If notice is given less than 24 hours in advance, that lesson will be counted and cannot be rescheduled.
• Online Group Lessons: absences from group lessons cannot be made up. Students have however access to the recordings of the lessons to keep up with the group.
  In the event of an absence of more than 2 consecutive weeks (i.e., 4 consecutive lessons), the student’s package can be “frozen”, and the student subsequently reinserted into another group (or the same group, if the student manages to make up the topics treated during the period of absence through self-study).
  In this case, students do not have access to recordings during the period of interruption.
• In-Person Group Lessons: no absence can be recovered.

If the number of participants in a class is, or is reduced to, only 1 or 2, the following rules apply:

• In-Person Group Lessons: if only 1 or 2 participants remain in the class, the remaining lessons will be reduced by 50%.
• Online Group Lessons: if only 2 participants remain in the class, the remaining lessons will be reduced by 50%. If only 1 participant remains, the remaining lessons will, at the student’s choice, either be converted into credit to be used for private lessons or continued by moving the student to another group. The residual value of the group lessons not taken will be converted into an equivalent number of private lessons by dividing the residual credit by €32.00.

A student enrolled in online group lessons may request to convert the remaining lessons into private lessons. The residual value of the group lessons not taken will be converted into an equivalent number of private lessons by dividing the residual credit by €32.00.

A student who decides to stop attending an online group course after it has already started is not entitled to any refund for the remaining lessons, without prejudice to the provisions on Absences and Reductions set out above.

If a student books more activities than those indicated by the school, a discount code will be provided as a refund.

If a student requests the accommodation search service, the corresponding fee is non-refundable, even if the student subsequently decides not to proceed with the accommodation identified, since the search service has in any case been carried out.

Europass SRL acts solely as an intermediary between the student and the accommodation provider (host family or property owner). Any cancellation penalty relating to the accommodation booking itself is set at the sole discretion of the accommodation provider and generally depends on the notice given before the arrival date. Europass SRL is not responsible for, and does not refund, any such penalty.

For CILS and CELI exam registrations, Europass SRL registers the student directly with the competent university (Università per Stranieri di Siena for the CILS exam, Università per Stranieri di Perugia for the CELI exam) and pays the relevant fee to the university on the student’s behalf. Confirmation of the registration is sent to the student by email.

If the student requests a refund before this registration has been completed, the Right of Withdrawal and the general cancellation rules set out above apply.

Once the registration with the university has been completed and the corresponding fee has been paid by Europass SRL, no refund can be granted.

For the CILS exam specifically, once the registration with the university has been completed, the student may still request to postpone the exam date, provided that a valid and documented reason is given (such as health issues, bereavement, or another documented inability to attend), for example by providing a medical certificate, and subject to the payment of a postponement fee of €10.00. The request will be forwarded by Europass SRL to the CILS examination secretariat, which will assign the new exam date. From the date of the original exam, the student will have 18 months to sit the postponed exam, exclusively at Europass SRL’s premises and for the same exam level originally registered for. This possibility does not apply to the CELI exam.

Europass SRL shall not be held liable for any delay, interruption, or failure to perform its obligations under these Registration Conditions where such delay, interruption, or failure results from circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, acts of government, or strikes (force majeure). In such cases, Europass SRL will inform the students concerned as soon as reasonably possible and will make reasonable efforts to reschedule the affected lessons or activities.

Where rescheduling is not possible, the rules on refunds and credit set out under “Cancellations, Reductions and Refunds” above apply, unless otherwise required by applicable law.

The school reserves the right to use photos and video footage taken by participants or third parties during the course or leisure activities for the purpose of illustrating its offerings. However, if a student chooses not to grant permission for the publication of such material, they are required to communicate their decision in writing to the school within one month from the conclusion of the course or the publication of the photo or video.

It’s important to note that if the school decides to use this material for promotional purposes or video production, students will be asked to sign a specific consent form.

Students enrolled in online group lessons have access to the recordings of the lessons in which they were enrolled. A student does not have access to recordings of lessons held before their enrollment date.

Recordings remain available on the platform for up to 30 days from the date of the lesson, after which they are removed.

For online group lessons involving minors, parents or legal guardians are required to complete a specific consent form authorizing the recording of the lessons.

A minimum age of 16 is required for participation in the courses. Junior programs are open from the age of 14 (up to max.17). Admission to minors under the age of 18 is possible with prior liability waiver /authorization signed by the parents or legal guardian, to use public transport and participate in all the extracurricular activities organized by the School without the assistance of the school staff.

The required documents for the study visa will be provided via email or, upon request, by mail. In case of visa denial, it is necessary to provide the institute with a copy of the rejection letter.

In this case, EUROPASS SRL will refund the amount paid for the booked course (whether Standard, Intensive, Private, or any other course) minus €150.00 as administrative costs. This specific rule applies regardless of the course type, and the general 30% cancellation penalty described under “Cancellations, Reductions and Refunds” above does not apply in the case of visa denial.

Students will be held responsible for any damage caused to the school structure. EUROPASS SRL denies any responsibility for the loss of personal belongings within its premises. It is strongly recommended to obtain insurance against theft, loss of personal property, accidents, or illnesses.

Europass SRL reserves the right to interrupt a student’s participation in a course or program, without any refund of the amount paid, in the event of serious misconduct, including but not limited to behavior that is abusive, violent, or otherwise seriously disruptive towards teachers, staff, or other students, or that violates the school’s rules or Italian law.
This also applies to intentional or seriously negligent damage caused to the school’s premises, furniture, or teaching materials, without prejudice to the student’s liability for the related repair or replacement costs as set out under “Insurance” above.

Students who wish to raise a complaint or report an issue relating to their course or their enrollment are invited to contact the school’s secretariat at [email protected]. Europass SRL will make its best effort to review and respond to the complaint within a reasonable timeframe.

Once enrolled, the student will automatically accept the conditions for enrollment at the school.
